Wedding transport is rarely one journey — it's usually three: getting guests to the ceremony, moving everyone to the reception, and a late-night return. Planning all three together, rather than booking them separately, tends to give a smoother day.
Start with both venues, not just one
Whether the ceremony and reception are at the same venue or across the city — for example a ceremony in the West End and a reception out towards East Renfrewshire or South Lanarkshire — share both addresses and the time gap between them so the transport plan can be built around the whole day, not just the first pickup.
Hotel collections need a clear list
If guests are staying at more than one hotel, list every hotel and an approximate guest count at each, rather than a single combined total. This lets the booking team plan a sensible collection order instead of guessing at it on the day.
Build in a buffer around the ceremony
Ceremonies rarely run exactly to time. Agree a realistic collection window for the reception leg — a fixed departure time that assumes everything runs perfectly is the most common cause of wedding-day transport stress.
The late-night return is easy to forget
It's tempting to focus all the planning on the outward journeys and leave the end of the night to sort itself out. Agree the return collection time and location in advance, ideally tied to the venue's own closing time or curfew, so guests aren't left arranging taxis at midnight.
